Job Overview

Easy Clean Commercial is a fast-growing commercial cleaning company providing expert cleaning services across Nottingham, Derby, Birmingham, Sheffield, Leeds, and London. We are seeking a highly organised and motivated Administrative Assistant to join our dynamic support team. The ideal candidate will play a key role in ensuring the smooth day-to-day running of our cleaning operations, delivering excellent customer service and supporting both clients and our mobile cleaning teams.

Key Responsibilities

  • Customer Service & Communication

    • Answer phone calls, emails, and online enquiries from clients and suppliers.

    • Book appointments, schedule site visits, and confirm cleaning jobs.

    • Liaise with clients regarding cleaning requirements, service feedback, and contract terms.

  • Scheduling & Operations Support

    • Manage calendars and cleaning schedules for regular and one-off jobs (e.g. office cleaning, end of tenancy, Airbnb changeovers).

    • Coordinate staff shifts, holiday cover, and on-call rotas.

    • Maintain records of cleaning checklists, keys issued, and job completion reports.

  • Administrative Tasks

    • Prepare invoices, purchase orders, and quotations.

    • Track payments and follow up on unpaid invoices.

    • Maintain accurate databases of clients, contracts, and site details.

  • HR & Compliance

    • Assist with recruitment, onboarding, and documentation for cleaning operatives.

    • Maintain up-to-date DBS checks, training records, and staff files.

    • Ensure compliance with company policies and health & safety requirements.

  • Marketing & Website Updates (Optional)

    • Help manage social media updates or website content (e.g. service updates, testimonials).

    • Monitor reviews and reply to online customer feedback.

Key Skills & Requirements

  • Previous experience in an administrative or office assistant role (preferably in a service-based or cleaning company).

  • Strong organisational and multitasking abilities.

  • Excellent verbal and written communication skills.

  • Confidence with Microsoft Office, Google Workspace, and scheduling software.

  • Ability to work independently and as part of a team.

  • Attention to detail and problem-solving mindset.

  • Friendly, approachable, and professional manner.
